Contacting Venues For Hire - Asking the Right Questions
Choosing a venue for your corporate event is an important decision. The appropriate venue not only ensures that your guests are comfortable and have ample space, but sets the tone for the entire gathering. In many cases, you'll find that there are a variety of venues from which to choose, and that narrowing down your choices proves difficult. Following are some tips to help you determine the venues for hire that best suit your needs: * Determine if the venue fits your budget - This seems obvious, but it's important to ask the right questions. For example, many venues charge extra for valet parking, or don't include linen with the tables. Wait staff may cost extra, as may a valet attendant. It's important to determine any add on charges that aren't included in the "list price". * Compare the venue size to your guest list - Many people only ask if the venue is large enough to accommodate their party. However, your event can feel very uncomfortable to your guests when the venue is too large. Guests should have enough room to mingle, but be in a space that is small enough to feel as though they're socializing. If you choose a venue that's very large for a smaller gathering, you may be able to use screens and curtains to make the room feel more intimate. This option provides you with more flexibility in venue choices. * Determine if the venue is appropriate for your event - Certain venues may be more suited to business events, while others are perfect for parties. Your event has a personality; it's important that your venue has a compatible personality. In addition, the venue must be practical for your event. Does it have disabled access? Parking available? Is it near a tram or bus stop? * Find out how much work this means for you - Will you be required to arrange catering, themeing and flowers separately, or will the venue handle these items for you? If the event venue doesn't arrange such items, are they able to provide a list of recommended Event Suppliers? You may find that a "one stop shop" event company is better equipped to manage the details your venue for hire requires. * Read the fine print - It's extremely important to understand all the details regarding your contract. All venues for hire have contracts that they consider to be "standard", but they may not be standard for you. It's critical to ask about cancellation policies, deposit requirements and how last minute changes are accommodated. In addition, it's important to know about the event venue's liability insurance coverage. Does the venue have insurance coverage in case a guest is injured during the event? * Find out about other events going on at the same time - If you're using part of a large event venue for hire, ask about the other parties. Is there ample parking for all guests?
Are the events compatible in nature? It's not likely that you want a rocking 25th birthday party, complete with an open bar and karaoke, going on in the room right next to your formal awards banquet.

Inadequate staffing means long lines at the bar and dinner tables that take too long to be cleared. Will you have a dedicated function manager to help with your event? Your corporate event should be memorable because it was enjoyable - not because it was difficult to plan or didn't meet your expectations.
